Fall Conference Planning
Wade reported conference registration materials are ready to go, Hafidha will post to the website.
Steering Committee will meet at the conference on Friday during the day, the conference will start at dinner time. Manish arrives in Denver on Thursday around 2PM. Would be nice for us all to have dinner together. Manish will invite Laurel Hallman (potential candidate for future UUA President) to meet with SC on Friday for a follow up conversation (to the meeting that happened at General Assembly).
Denise talked about publicity, getting the word out to the district so that the DEs, etc. can do publicity within the district for the conference.
Need to work on: airport pickups; meals (dinner Friday-lunch Sunday) Denise suggested Natalie (yay!) Denise will check it out. Joseph Santos-Lyons volunteered to help Natalie if she is chosen. Local MDD DRUUMM chapter (about 12 people) can help with food and transportation. Denise will work with the Church and Wade around securing the whole space for use during the conference. Denise will coordinate chaperones for youth staying at the church. Denise and Wade have been talking regularly, will begin talking at least weekly from now on. Diana Mapes at the Church is the person to talk to about the kinds and sizes of the rooms that will be available for our use.
Conference Programming
Bill Sinkford (UUA President) wants to come to Fall Conference, do we want him to have a specific role? Julie needs to make travel arrangements for him. Chit chat doesn’t seem particularly effective. Mel mentioned capital campaign, suggested having conversation about supporting programming for POC. Changes in youth programming, how is youth of color going to be nurtured with restructuring. Manish suggested Bill meeting with break out groups, targeted roundtables, interest groups something like that on Saturday. Opportunities for more informal conversations with Bill, Elandria suggested people writing questions on note cards on Friday.
Possibility of having new consultant at conference to meet with DRUUMM constituents. Consultant written proposal was helpful. Manish suggested phone conversation with actual staff person from Crossroads who would work with DRUUMM. We seem agreeable to that. Possible phone conversation 5PM eastern Wednesday, Sept 19 or 3PM eastern Friday, Sept 21. Wednesday is our first choice. Robette will confirm with Crossroads and let the SC know which day will work. The call will be for conversation with Crossroads staff person about the potential to work together. Then Steering Committee members will stay on the call and talk about how we feel about Crossroads as the consultant and make a decision about whether to go forward this year or wait until next year to work with the consultant.
General Assembly 2008 Programming
October 15 is the eadline for proposals to GA Planning Committee for funding.
There is a $3000 program and a $500 program. Elandria is concerned that in the past our recommended programs have competed with one another, which has not been the best thing. Thinks we should be more strategic about which program we apply for and for which slot. Elandria will send application forms. Four known programs APIC has one, FUUSION has one with Maria Root on bi-racial children/people, Hope Johnson is working on a follow up program with LUUNA (Elandria will call), Manish working with one with Jonalu Johnson to co-sponsor with Interweave. Need to think about the
financial needs for these, the BIG one should apply for the $3000 one, others apply for the $500 ones. Denied $3000 workshops are considered for $500. Letters of support for workshops are helpful, additional letters from other UU organizations (like for youth related stuff, it helps to get support from LREDA for example).
Scholarship application procedures for conference, Danielle and Manish working on? Manish talked to Cathy Chang about financial stuff for conference (see notes Manish sent out). $3000 DRUUMM scholarship money we should figure out how to distribute it. YaYa has own money for conference scholarships. Application has info about other sources of scholarship money.
Manish says there are about five offices, etc at UU to apply for scholarship money.
Steering Committee positions
Hafidha has contacted Dev Nambi about possibly shadowing Elandria; waiting to hear back.
Hafidha is working on posting Communications job description to the website, prioritizes need for someone to work with folks who want to start DRUUMM chapters. Danielle suggested Tony Brumfield. Davis inquiry, Robette will follow up with the
person (Alexandra Lee-Jobe) - and Tomoko at Davis Church as well. Hafidha asked Chester to send her the “How to start a DRUUMM chapter” manual for posting to website; she also thinks a section of website could be designated to chapter people so they can network and get help and support from one another instead of needing
to go through SC. Hafidha wants to work on this in coming month. She has
identified three main components to Communications job: Technical management
(maintain infrastructure), info management (posts information and maintains
the lists), content management (dealing with inquiries and requests and
generating content).
Membership is another area needing attention. Membership list received from IdBM contact reflects only 58 names and about 48 email addresses, no other information (like addresses, phone numbers, ID). Lots of missing information including not knowing how much they paid, etc. Information given is from July 06-June 07. Hafidha will follow up with Sofia B. to find the rest of the membership form information; others suggested contacting Taquiena.
Need to fill treasurer position, email suggestions to Manish.

It was helpful to learn about the Steering Committee conference call and then to read the minutes. Do Caucus coordinators get informed of the calls to help sahre information with members?

Right now everyone listed as Leadership in the DRUUMM Steering Committee is invited to join the steering committee calls. The steering committee has its own listserv which all of them are members of. There are several caucus liaisons, such as Joyce Brown, Young Kim, Leslie Takahashi-Morris and Denise Hall, who are informed of the calls and always welcome to participate.
Thanks for sharing these notes publicly. This makes a big difference!
